How Clipping AI Assistant handles Discord messages, member information and campaign records. Last updated: September 30, 2026.
01. OVERVIEW
Clipping AI Assistant ("the Bot") helps Discord communities with campaign support, submissions, staff handoff and moderation. It operates in servers where it has been added by a server administrator. This policy describes what the Bot processes when people interact with it and when server features are enabled.
02. INFORMATION PROCESSED
- Discord account and server details: user IDs, usernames, member join dates, account creation dates, roles and other member details needed for enabled welcome, moderation, support and reporting features.
- Messages and attachments: messages in supported channels, support DMs and ticket threads, messages used by submission or announcement workflows, and associated message or attachment links. Staff tools can also read channel history when run by an authorized user.
- Campaign and support records: links and information users submit, support-session mappings, registration details users provide, and records of bot actions.
What is processed depends on the server's configuration and which features people use. The Bot may process message content without an explicit slash command in channels where its support or monitoring features operate.
03. HOW INFORMATION IS USED
Message text is used to provide relevant AI-generated replies, recognize support requests, relay messages to staff, and process submissions or announcements. Member data is used to welcome new members, enforce configured account-age rules, monitor certain role changes, and support authorized staff checks. Submitted campaign information is used to process the relevant campaign or support request.
AI-generated answers may be incomplete or wrong; users should confirm important decisions with a server administrator. The Bot operator does not use Discord messages to train its own AI models.
04. SERVICE PROVIDERS AND DISCLOSURE
Questions handled by the AI support feature, along with limited recent conversation context, are sent to the OpenAI API to generate replies. OpenAI's own data handling terms apply; its API data is not used to train OpenAI models by default unless the API account opts in. The Bot's hosting and database providers process data needed to operate the service.

Support messages may be shared with authorized staff through Discord threads or staff channels. Submissions and moderation records may likewise be available to authorized server staff. The Bot does not sell user data. This does not mean data is never shared: the processing described above involves service providers and staff.
05. STORAGE AND RETENTION
Some data is stored outside Discord in local files and a database used by the Bot. Examples include user IDs, submissions, support-session information, selected bounty announcements and, in certain staff-initiated workflows, ticket transcripts. Messages and logs sent to staff channels also remain on Discord subject to those servers' settings.
Recent support conversation context is also held temporarily in memory while the Bot runs. There is no single automatic deletion period covering every stored record; retention depends on the workflow and when an operator removes the record. Do not assume that closing a Discord channel removes all copies previously saved by staff workflows or service providers.
06. CHOICES AND REQUESTS
The Bot does not currently offer an in-bot switch to opt out of message-content processing in enabled channels. Avoid sending sensitive information to Bot-supported channels or support DMs. You can ask a server administrator or the Bot operator to review or delete data they control about you. Include enough information to locate the relevant record, but do not post sensitive details publicly.
Requests are reviewed by the operator; some data may remain in Discord, staff-held records or provider systems outside the operator's direct control, and some records may need to be retained where required by law or legitimate operational needs.
